Case Study: Protecting your company from phishing attacks

An established company with around 30 employees and many volunteers. Although the core employee base was fairly stable there was significant amount of turnover in volunteer and part-time staff.
The turnover of volunteers and part-time staff was a natural consequence of the nature of the business and wasn’t due to poor working conditions. However, this constant flux made it difficult to maintain a high level of awareness of security, particularly email security, across the company as people came and went. A company’s security is only as strong as its weakest link so it’s important that every member of staff is vigilant, even if they only work a couple of hours a week.
We attacked the issue on several levels by enabling the following:
- Microsoft Exchange Online Protection (a Cloud based email filtering service)
- Detailed auditing within Office 365 to alert us immediately when certain were set on a user’s email account. The actions chosen are ones that can be used to hide an infiltrator’s presence from the user concerned.
- Multi-Factor Authentication on every mailbox. This provided a method of preventing an infiltrator accessing a user’s mailbox even if they had inadvertently entered their Office 365 credentials on an infiltrator’s phishing site (a very common method used and the reason for phishing emails).
- Regular email security presentations to ensure all new starters were quickly brought up to speed on the requirement for vigilance at all times when using the company email system.
